Introduction
Our team manages the system to ensure the stable operation of the hospital information system. We work with various hospital departments to ensure the system is properly maintained so that daily operations run smoothly. Furthermore, we strive to enhance operations and innovate systems from an information systems perspective. Our ongoing research focuses on leveraging IT to improve operational efficiency and elevate patient services.
The Team and What We Do
<Projects performed>
- The operation, management, updating, and improvement of the hospital information system (in cooperation with each department)
- Consultation on the appropriate use of medical information (in cooperation with the Medical Information Management Section)
- Consultation services regarding the appropriate acquisition of medical fees (in collaboration with the Medical Affairs Management Section)
- Consultation services regarding the provision of safe medical care (in collaboration with the Office of Medical Safety Management Section)
- Committee activities in "Kashiwa Campus Information Committee", "Medical Information Management Committee" and "Medical and Surgical Meetings". In addition, from this year, we have been participating in “Ministry of Medical Safety Administration", and "Disaster Prevention and Management Committee".
- Operation of the Hospital Information System Management Subcommittee and revision of procedures.
- Inventory of electronic medical record IDs.
- Assess equipment failure status and propose countermeasures.
- Participation in QC activities (information dissemination through newsletters).
- Participation in the next hospital information system update project and dissemination of information.

Research Activities
We made presentations at the Japan Association for Medical Informatics, DIA Japan, the European Congress of Radiology, the Radiological Society of North America, etc.
Continued joint research on the utilization of electronic medical record data with Flatiron Health K.K.
Participated in joint research on data analysis of adverse events and comorbidities in cancer patients using EHR data was initiated with DAIICHI SANKYO Co., Ltd.
Participated in joint research project on standardized data linkage in clinical trial operations with Fujitsu Japan Ltd., Pfizer R&D Japan G.K.
Education
<For department colleague>
Support is being provided to Healthcare Information Technologists (HIT) to obtain qualifications. In FY2023, one HIT and Information Technology Passport acquired qualifications. Education on project management was provided through on-the-job training.
<For Hospital colleague>
E-learning on information security was conducted (twice a year). Training was conducted by the person in charge of medical information system safety management (once a year). In addition, educational activities to improve information literacy were conducted by publishing a monthly newsletter.
Future Prospects
In FY2023, the staff was appointed by job rotation from the Department of Pharmacy. Close collaboration with other departments such as Nursing, Radiological Technology, Clinical Laboratory, and Pharmacy has become possible. Support and advice are provided to each department in the introduction and updating of the hospital information system. From this year, we will participate in committee activities related to medical safety management and disaster prevention and strengthen the system for utilizing EHR data in medical safety and responding to system failures in the event of disasters. Regarding the handling of medical information and strengthening of governance, a management and provision system was established in cooperation with the Medical Information Management Department from the perspective of the hospital information system. We have started linking data in an actual clinical trial as a result of joint research with a company. We will work to refine the system so that it can be widely applied in the future. For products that have been commercialized through joint research, we will continue to confirm the usability of the products during version upgrades. We also continue to work on security measures for hospital information systems, starting with the Electronic Medical Records System and expanding to department systems. We will keep actively working to improve information literacy among our staff and to enhance our information security-related training programs.
