Introduction

 Our team manages the system to ensure the stable operation of the hospital information system. We work with different hospital departments to support system maintenance and daily operations. Furthermore, we strive to enhance operations and innovate systems from an information systems perspective. Our ongoing research focuses on leveraging IT to boost operational efficiency and elevate patient services.

The Team and What We Do

 <Projects Performed>

  • The operation, management, updating, and improvement of the hospital information system (in cooperation with each department)
    Inventory of electronic medical record IDs, assessment of equipment failure status and proposal of countermeasures, and implementation support to related departments in system deployment.
  • Consultation on the appropriate use of medical information (in cooperation with the Medical Information Management Section)
  • Consultation services regarding the appropriate acquisition of medical fees (in collaboration with the Medical Affairs Management Section)
  • Consultation services regarding the provision of safe medical care (in partnership with the Office of Medical Safety Management Section)
  • Promotion of the Phase 4 Hospital Information System Update Project
    Establishment of a system update framework, activities contributing to the standardization of electronic medical records, and information dissemination within the hospital.
  • Response to system audits.
  • Improvement of the system and operation for hospital function evaluation review.
  • Implementing IT-BCP training and exercises in accordance with the Hospital Information System BCP.
  • Strengthen security measures related to hospital information systems.
  • Participation in QC activities (AI-supported medical field).
  • Support for efforts and initiatives related to biosensing, etc., at cooperating lodging facilities.
  • Participation in the DCT (Decentralized Clinical Trial) Project.
  • Participation in demonstration projects associated with Kashiwanoha Smart City, Rakuten Mobile.

Research Activities

 We made announcements at the Japan Association for Medical Informatics, DIA Japan, the Japan Society of Clinical Trials and Research, and other organizations.

 We participated in a project to build a platform for collecting and providing real-world data utilizing electronic medical record information from the Japan Health Research Promotion Bureau.

Education

 <For department colleague>

 Support is being provided to Healthcare Information Technologists (HIT) to obtain qualifications. In FY2024, one Advanced HIT, Information Technology Passport, and JDLA Deep Learning for GENERAL acquired qualifications. Project management education was delivered via on-the-job training.

 <For Hospital colleague>

 Information security training was held (three times in FY2024). Training was conducted by the person in charge of medical information system safety management (once per year). In addition, educational activities to improve information literacy were conducted by publishing a monthly newsletter.

Future Prospects

 The Department of Medical Information is staffed by personnel from various departments such as nursing, radiology, clinical laboratory, and pharmacy, through a job rotation system. We work closely with other departments to coordinate system implementation and related tasks. Through membership in medical safety and disaster prevention committees, we are strengthening our response capabilities during system failures by utilizing EMR data for medical safety and conducting IT-BCP training focused on cyberattacks.

 HIS4 Upgrade Project has commenced, and we have established the necessary organizational framework for the system upgrade. For the EMR system, we aim to standardize functions as much as possible and promote the operation and management of an appropriate hospital information system that aligns with cost benefits, thereby contributing to hospital management.

 We have commenced verification of operational efficiency improvements utilizing generative AI, aiming to achieve results that reduce staff workload and cut costs.
